Fleet/Safety Coordinator

Roles and Responsibilities

Fleet

  • Maintain Fleet and Driver documentation through Enterprise Fleet Program, Samba Safety and GPS portal.
  • Assist with management of the Enterprise Fleet Program which includes fleet maintenance, obtain tags for new vehicles and renew old tags, purchase new vehicles, etc.
  • Assist management if assigning vehicles to current or new employees.
  • Responsible for explaining and reviewing the fleet policy with new hires at orientation and any new company drivers. Ensure new hires and new company drivers have the Enterprise App installed and are familiar with them.
  • Assist with the acquisition of fleet vehicles making sure the MSS logo is on the vehicle, special equipment is added, and GPS is installed.
  • Record acquisitions, dispositions, and depreciation in ERP.
  • Assist with ensuring driver logs are completed for delivery trucks and we are compliant with the FMCSA. Oversee utilization of electronic logging system.
  • Notify our insurance carrier new vehicles and drivers join the fleet.
  • Collect auto accident paperwork, track accidents, participate in fault review, and report the accident to the insurance company and manage claims.
  • Order fuel cards for all vehicles. Set up drivers in WEX and monitor fuel purchases across the fleet.
  • Provide division cost coding for invoice entry for fuel, Enterprise and all other fleet related payables.
  • Answer phone calls/emails/questions regarding company drivers.
  • Assisted with purchase and distribution of employee uniforms not included in stipend.
  • Monitor fleet videos and GPS tracking to ensure compliance with company policies.
  • Track and coordinate fleet and equipment repairs with our leasing provider.
  • Manage requests for rental equipment.
  • Assist in ordering and stocking of uniforms and other company apparel.

Safety

  • Enter, file and maintain training records.
  • Review subcontractor safety prequalification applications to ensure compliance with MSS requirements.
  • Assist with safety training and new employee onboarding.
  • Track safety training and send out reports for expired training.
  • Respond to customer requests for safety training reports and safety qualifications.
  • Establish solid communication with all staff, both project, and corporate, customers and vendors
  • Other such duties and responsibilities as assigned by the company from time to time.

Qualifications and Requirements

  • Undergraduate degree preferred
  • Demonstrated proficiency in MS Office products
  • Must have excellent communication and organizational skills.
  • Knowledge and/or experience in safety and fleet management is a plus
  • Ability to work independently, prioritize and multi-task.
  • Ability to accurately work under pressure in meeting deadlines.
  • Ability to lead and direct diverse teams
  • Must successfully pass a background check & drug test.
  • Physical Demands: Constant sitting, walking short distances, bending, stooping, twisting, reaching above and/or below shoulder, handling/grasping documents or office equipment, clear speaking and adequate hearing sufficient to communicate effectively and respond appropriately in-person and/or on the telephone, vision sufficient to read source materials and computer screen data, repetitive motions for computer equipment use, lift 25 lbs. occasionally, 5-10 lbs frequently to lift/carry/move objects, files and documents.

Work Environment: Work is performed in an office environment with air conditioning and bright lights.
